Summary of Position: • This position is a full-time, temporary, grant funded position ending 12/31/25. If the grant funding is extended, there is a potential the position could be extended as well in 12-month intervals.
• The successful candidate hired for this position will provide responsible, independent secretarial support requiring independent interpretation of the policies and procedures of a major unit related work areas.
• The candidate will coordinate meetings and communications with research partners and team members.
• The candidate will assist with tracking grants and expenses for our unit.
• The anticipated start date for this position is March of 2025. However, this is an estimated date and can be revised if needed.

Required Education: • Satisfactory of two/three years of college or equivalent.
• The requirements listed are representative of the knowledge, skill, and/or ability required.
• Any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities may be considered.
• Equivalency for education is two years of work experience equals one year of education.
 
Required Work Experience: • At least two years prior work experience to include advanced bookkeeping, office supervisory responsibility, and public contact where tact and diplomacy are required.
• Two years part-time is equivalent to one year full-time.

Additional Education/Experiences to be Considered: • At least two years of prior experience with Web Development Tools, Microsoft PowerPoint, and Microsoft Excel.
• Prior experience with medical billing and coding terms and software is desirable.
 
Essential Duties/Responsibilities: • Coordinate intra-unit operations, procedures and activities with personnel to maintain consistency in the application of policies and procedures.
• Answer inquiries from a variety of internal and external sources, and provide explanation and interpretation of the policies, practices and procedures of the research group.
• Review and interpret incoming mail and assemble files and other related materials to facilitate response by supervisor.
• Initiate correspondence requiring and understanding of the unit’s activities, policies and procedures.
• Collect and tabulate complex data from a variety of sources.
• Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
• Publish quarterly newsletter/electronic communication for partners.
• Update content on the group’s webpage.
• Monitor budget and maintain related records and reports for the research group.
• Produce correspondence, reports and other documents utilizing a computer to access various software programs and systems.
• Input, retrieve, download, merge and output information utilizing a computer to access various software programs and systems.
• Regularly deal with sensitive and confidential matters.
• Abstract information from books, professional journals, reports and other source documents.
• Train and direct student workers.
• Carry out supervisory responsibilities in accordance with University policies and applicable laws.
• Maintain the confidentiality of designated information.
• Reports to immediate supervisor.
• Support, promote, and develop University student enrollment and retention initiatives.
• Any other duties assigned within the position classification area.
 
Marginal Duties/Responsibilities: • Review, revise and/or develop brochures, announcements, etc. for special events.
• Provide back-up assistance for other clerical positions.
• Attend meetings and conferences in absence of supervisor.
• Help organize professional meetings, conferences, and board meetings.
 
Skills and Abilities: • Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations.
• Input, retrieve, download, merge and output information from software programs and systems.
• Operate a variety of office machines and equipment such as; computer, facsimile, dictation equipment, multi-line telephone, copier, and calculator, to include making minor adjustments (requires some mechanical aptitude).
• Perform basic mathematical operations with accuracy.
• Plan, organize and make sound judgments and decisions.
• Supervise, direct and train others in the performance of the characteristic duties.
• Use computer software such as Microsoft Word, Excel, and PowerPoint.
• Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.
• Demonstrated commitment, experience, and understanding for diversity, equity, and inclusion.
• Sensitivity to non-technical clients.
• Strong communication skills (verbal & written)
