The College of Western Idaho (CWI) is seeking an Administrative Assistant to provide comprehensive administrative, budgetary, and operational support for a dynamic department. This role plays a critical part in ensuring smooth daily operations, effective scheduling, accurate records, and exceptional customer service.

Administrative Operations & Office Management: 

  • Manage day‑to‑day administrative operations, records, files, and correspondence for the department 

  • Develop, review, implement, and adapt office procedures to improve efficiency and support new processes 

  • Maintain departmental workflows and provide leadership coverage in the manager’s absence 

  • Operate office equipment and utilize Microsoft Office and related systems to produce reports, correspondence, and documentation 

  • Train staff on office procedures, equipment, and software 

Budget, Scheduling & Program Support: 

  • Assist with departmental budget management, including monitoring expenses and providing budgetary input 

  • Prepare and utilize Workforce Development Cost Analysis Worksheets 

  • Coordinate acquisition and maintenance of office equipment and supplies 

  • Conduct master scheduling by projecting class schedules, supporting classroom scheduling, and managing scheduling tools 

  • Support course management activities, including instructor scheduling, go/no‑go decisions, textbook coordination, and completion of evaluations and certificates 

Personnel & Stakeholder Support: 

  • Assist with personnel processes, including preparing personnel action paperwork and maintaining staff and instructor contact lists 

  • Monitor and approve part‑time instructor work hours 

  • Support hiring, training, and supervision of office support staff 

  • Respond to inquiries from students, faculty, staff, and community partners by phone, email, and in person with accurate, timely information 

  • Coordinate with the Business and Manufacturing Director to support custom training offerings, including enrollments, scheduling, and business partner coordination 

Records, Reporting & Communication: 

  • Oversee specialized recordkeeping, data collection, database management, and reporting related to internal, external, and compliance requirements 

  • Compose, edit, and distribute technical and administrative correspondence, reports, agendas, and meeting minutes 

  • Interpret and apply departmental and college policies, procedures, and regulations 

  • Contribute to a culture that reflects and reinforces CWI’s values through professional communication and collaboration 

What We’re Looking For: 

  • Associate’s degree, Applied Associate’s degree, or certification from a two‑year college or professional‑technical program 

  • Three (3) years of related experience (five years preferred) 

  • Excellent customer service and interpersonal skills 

  • Strong organizational skills with the ability to manage confidential and complex administrative work 

  • Proficiency in Microsoft Office and professional telephone protocol 

  • Ability to interpret manuals, policies, and procedural documents 

  • Ability to write original instructions, reports, and routine business correspondence 

  • Ability to type at least 50 words per minute 

Additional Instructions For Applicants: 

Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week, eligibility for remote work is determined on a case-by-case basis at the hiring manager's discretion. All candidates must reside within, or be willing to relocate to, a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
