The College of Western Idaho (CWI) is seeking a Coordinator of Scheduling to lead academic and event scheduling efforts, ensuring efficient use of campus spaces and alignment with institutional priorities.

Strategic Scheduling Leadership: 

  • Coordinate academic and event scheduling across the college 

  • Serve as the functional lead for scheduling software and systems 

  • Develop and manage the academic scheduling timeline in collaboration with faculty and departments 

Impactful Work in Higher Education: 

  • Ensure accurate and timely publication of the academic course schedule 

  • Support internal and external events that enrich the campus community 

  • Align scheduling practices with institutional goals and student needs 

Collaborative & Technology-Driven Environment: 

  • Work closely with faculty, staff, and external partners 

  • Maintain and improve scheduling systems and procedures 

  • Provide training and support to users of scheduling software 

Key Responsibilities: 

Academic & Event Scheduling 

  • Prepare and publish the official academic course schedule each semester 

  • Coordinate internal and external event scheduling in alignment with college policies 

  • Collaborate with the Dual Credit program to schedule high school-based courses 

System & Process Management 

  • Act as the primary contact for scheduling software vendors 

  • Manage system updates, permissions, and testing of new features 

  • Develop and refine standard operating procedures for scheduling 

Reporting & Compliance 

  • Create reports and tools to support space utilization and scheduling equity 

  • Maintain expertise in scheduling regulations and institutional policies 

  • Support related functions such as registration, degree audits, and enrollment management 

What We’re Looking For: 

  • Associate’s degree in a relevant discipline or equivalent experience 

  • One year of experience in a college/university Registrar’s office or similar setting (preferred) 

  • Strong understanding of scheduling systems and software problem-solving 

  • Experience with ERP systems such as Ellucian Colleague (preferred) 

  • Self-directed, detail-oriented, and highly organized 

  • Strong communication and collaboration skills 

Additional Instructions For Applicants: 

Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week, eligibility for remote work is determined on a case-by-case basis at the hiring manager's discretion. All candidates must reside within, or be willing to relocate to, a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
