Position Summary:

Reporting to the Assistant Registrar, the Evaluator is a full-time professional staff member responsible for areas of the Registrar unit to include evaluation of graduation requirements, transfer credit, and prior learning credit.

The Evaluator in the Registrar’s Office is responsible for participating in efforts to help students achieve educational goals and in supporting Student Success Advisors with tools and resources that track student progress. The evaluator will audit students’ academic history and monitor students’ progress toward graduation. The incumbent works closely with students, faculty, Admissions and One Stop, Financial Aid, Student Accounts, Advising, and Student Affairs to ensure the highest data quality standards are met within the student information system (SIS).

Essential Functions:

• Evaluate student academic history to determine degree progress according to catalog requirements and academic regulations
• Determine and communicate remaining coursework needed for graduation
• Develop processes to identify students close to completion
• Clear students for graduation; run system graduation processes
• Audit the integrity of student program-level data to ensure accurate enrollment reporting
• Review official transcripts for transferrable credit; determine equivalent content.
• Review and test other prior learning credit using established evaluation procedures
• Accurately respond to questions regarding transfer credit and graduation requirements.
• Conduct other Registrar activities such as registration, grade changes, and commencement planning
• Gather and analyze data for reports regarding student progress and completion.
• Maintain the integrity of student records and comply with college policies, deadlines, and procedures related to student enrollment.
• Partner with other student services and enrollment management staff to deliver a wide range of support and customer service functions to students, faculty, and staff.
• Maintain expert-level knowledge of applicable policies, procedures, regulations, rules, statutes, and laws.
• Keep abreast of federal and state regulations and institutional policy to ensure compliance with those requirements.
• Assist in the development of efficient, technology-driven processes to ensure that the highest quality data standards are met within the ERP.
• Participate actively in an Agile framework to refine, prioritize, and execute project work
• Maintain effective working relationships with faculty, staff, and the community to actively support a team approach to accomplish goals.

Minimum Qualifications:

• Bachelor’s degree in relevant discipline, or 3-4 years direct experience. Master’s degree in a relevant discipline preferred.
• 1 year of experience in a college/university or similar setting.
• Experience working in a community college setting, serving a diverse, non-traditional student population preferred.
• Strong cross-cultural, interpersonal, and writing skills are necessary, including public speaking and ability to represent the college in a positive way to diverse populations.
• Experience with Colleague by Ellucian ERP and/or other major ERP systems preferred.
• Bilingual (Spanish/English) preferred.
