About the Opportunity:

The Khoury College of Computer Sciences is seeking a dynamic Administrative Assistant who will provide integral administrative and clerical support to two faculty and one Director (Associate Dean of Students, Associate Dean of Graduate Students, and Global Director of Align). This role will report to the Executive Assistant to the Dean of Khoury College. Under the direction of the Executive Assistant, they will work as part of an administrative team supporting the day to day operations of a busy, academic environment on both the east and west coasts. The Dean’s office is extremely busy and requires an individual with proven skills in handling confidential materials, multi-tasking, and handling sensitive situations in a calm, thoughtful and professional manner. The Administrative Assistant must possess excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts.



Provides general office support, including, but not limited to, answering phones, responding to phone and email inquiries, and filing.

Calendar management for two faculty and one Director.

Coordinates extensive travel arrangements including international travel for faculty.

Compiles and prepares meeting materials. Double checks all information to confirm accuracy.

Creates and organizes visits with faculty and administrators and manages scheduling, logistics, and itineraries.

Schedules and books meeting rooms. Sets up meeting rooms and prepares meeting materials and technology in space.

Provides timely processing of all expense receipts.

Takes minutes in group meetings as needed

Special projects as needed

Working with the College Events team to coordinate meetings for the Dean

Tracking projects

Light calendar support for the Dean

Proofreading materials

And other duties as assigned


Associate’s degree required, Bachelor’s preferred with 2 – 4 years of office experience and previous experience working in higher education.

A successful candidate will have a high degree of flexibility, diplomacy, customer service and organizational skills with a demonstrated ability to handle multiple tasks simultaneously.

Able to work independently but within strategic framework. A successful candidate will be comfortable taking initiative, but also knows when to ask for help.

Must possess exceptional calendar management skills as they will be managing multiple calendars.

Must possess strong interpersonal, oral, written, and time management skills, along with tact, poise, sound business judgement, diplomatic skills, and discretion.

Must be able to handle sensitive material, set priorities and work independently and as part of a team.

Demonstrated ability to work independently, take initiative, multitask and prioritize in fast-paced and high-pressure environment; accuracy and attention to detail; excellent judgment; demonstrate courteous and professional manner; diplomacy and problem-solving skills.

Must be able to maintain high level of confidentiality.

Time management and organizational skills required.

Excellent and clear communication required.

Strong MS Office (Word, Excel, PowerPoint) and experience with database software.

Proficiency in answering and directing phone callers.

Experience with Concur desired

Strong MS Office (Word, Excel, PowerPoint, Teams, Planner) and experience with database software. Wiki confluence experience a plus, but not required.

Proficiency in answering and directing phone callers.
