About the Opportunity:

Working closely with the Executive Assistant to the Vice President of Facilities Management, this position will provide administrative and organizational support to the Vice President and Associate Vice Presidents of the division.

Responsibilities:

Calendaring and Meeting Prep: Maintain and coordinating the the calendar for the VPs and AVPs as well as help coordinate the office workflow on a daily basis. Scheduling internal/external meetings. Coordinating and organizing the needs and preparation for meetings including taking meeting minutes. Create agendas/itineraries for meetings and various committees, and order food for meetings.

Communications: Assist the VPs/AVPs on daily issues, projects, and Power Point presentations. Create written and oral communications relating to operational matters, proof reading letters, etc. Gather and disseminate information on a variety of subjects.

Event Coordination: Assist in wide-arrange of event coordination for the Facilities and Campus Planning divisions. Make travel arrangements, seminar or conferences registration. Assist with managing the activities of the conference rooms and meetings.

Other: Handle other concerns necessary to ensure smooth operations of the Facilities Management Division. Respond to daily needs and red flag important calls, situations and take appropriate actions to keep everyone informed. Prepare and process various reports as requested; maintaining and updating databases and project lists. Act as a liaison for the VP/AVPs on routine inquiries.

Qualifications:

Bachelors Degree preferred with a minimum of 2 years of related experience in a business setting, preferably in a large, busy office. Ability to handle several projects simultaneously. Administrative Assistant must poses excellent communication and interpersonal skills; good working relationships must be developed with internal/external groups and the Administrative Assistant is often the liaison between all groups involved. The Administrative Assistant must be a proven and disciplined self-starter that can make informed decisions and work independently. Attention to detail and organization is critical. Excellent writing and proofreading skills are required as the Administrative Assistant creates and reviews many written documents. Extensive computer experience and knowledge of various computer software packages including Microsoft Word, Excel, Access and Power Point required. Confidentiality is essential in this role as is the need to be flexible and understand the need for changing priorities is essential.
