About the Opportunity:

Provide professional administrative support to the Business & Operations Mgr and the Graduate Director for graduate programs and related departmental activities. Plan, organize, and implement activities for the programs' admissions, student services, financial aid, student records, alumni relations, marketing and publications. Adhere to all graduate school guidelines and deadlines. Manage inquiries for admissions and maintain inquiry data. Attend all relevant graduate committee meetings. Coordinate with the Graduate Director to be sure all program needs are met. Inform students about administrative matters, general program policies, and petition requests. Develop and maintain computer-tracking systems to monitor student academic progress and review related student records and advise students and faculty when appropriate.

Responsibilities:

 

Admissions and Financial Awards: The Graduate Administrative Assistant will support the Business and Operations Mgr and the Graduate Committee with tracking applications, corresponding with applicants, briefing the Graduate Committee members during admissions deliberations. Processing of all financial award applications, corresponding with award recipients, and assisting in the identification and assignment of award recipients including Teaching Assistant assignments.

 

Advising and Academic Monitoring: A major responsibility is to advise students and provide where resources on campus are, (e.g. for registration procedures, petitions, etc.) as well as general program policies. The Graduate Administrative Assistant plans and coordinates the department orientation for new students and financial award recipients. Keeps track of student academic progress and advises students and faculty as appropriate. The Graduate Administrative Assistant conducts graduate commencement clearance for the department.

 

Marketing, Outreach, and Scheduling: Respond to inquiries from prospective students and to coordinate and participate in the development of marketing materials, including program and departmental newsletters, brochures, and advertisements. The Graduate Administrative Assistant also assists in the development of the graduate course schedule through contact with faculty and other offices in the university.

 

Qualifications:

Associates Degree Required; Bachelor's degree preferred. 2-3 years of administrative experience preferred. Strong computer skills required in database management, spreadsheets, website maintenance, and electronic correspondence. Organizational, customer service, and interpersonal skills critical; independence and initiative essential. Ability to work as part of a team both within the department and the college. Familiarity with university administration and student services a plus.


Preferred Qualifications:

 Familiarity with MS Teams, MS Outlook, Course Leaf, Share Point, Tableau
