Job Summary

Reporting to the Senior Director, Advancement Services, the Manager, Advancement Analytics will provide strategic leadership in the use of data to inform annual giving segmentation, campaign strategy, and constituent engagement. The Manager develops and oversees analytic frameworks, dashboards, and reports that measure appeal performance and engagement metrics across channels. This position partners closely with annual giving, engagement, and communications teams to ensure that appeals, campaigns, and donor experiences are guided by actionable insights. The Manager supervises a report writer who provides technical outputs and list generation, ensuring that data is accurate, timely, and aligned with advancement goals.

 

Job Duties

  • 30% - Data Management - Fundraising & Engagement Appeals - Build, validate, and deliver audience segmentation for all fundraising and engagement appeals across mail, email, digital, and phone channels. Partner with Annual Giving, Engagement, and Communications teams to design audience strategies, apply segmentation filters, and test messaging and timing approaches. Coordinate data delivery schedules and maintain version control to ensure campaign accuracy and alignment with communication calendars. Develop and maintain dashboards and reports that monitor participation, revenue, and performance by channel and segment. Conduct post-campaign analysis to identify trends, test outcomes, and actionable insights that inform future strategies. Track engagement metrics—including event participation, volunteer involvement, and digital activity—and connect these indicators to giving outcomes. Support Advancement leadership by defining data-driven audience strategies and ensuring personalization and segmentation rules align with campaign goals. - (Essential)
  • 25% - Data Hygiene & Database Management - Maintain the integrity of Advancement data by performing regular audits, deduplication, and address/email validation. Establish and maintain a regular cadence of data hygiene tasks. Oversee procedural documentation, data definitions, and source tracking. Scope, prioritize, and resolve data hygiene projects and identified data gaps to ensure accuracy, consistency, and institutional alignment. Oversee data imports and exports from internal and external systems (e.g., online giving, event platforms, prospect research tools). Collaborate with Advancement Services colleagues to enhance workflows, implement quality-control checks, and ensure optimal use of CRM tools. - (Essential)
  • 15% - System Administration & Support - Serve as power user for Salesforce Education Cloud and Marketing Cloud Account Engagement (MCAE/Pardot). Support campaign setup, user permissions, system troubleshooting, and process automation. Manage integration with reporting and analytics tools (e.g., CRM Analytics, Tableau). Serve as the liaison with Advancement Services technical staff and vendors to escalate issues, schedule updates, and maintain system effectiveness. - (Essential)
  • 15% - Data Governance & Reporting - Lead the development and maintenance of documentation, business rules, and training materials to support consistent data practices. Partner with Advancement Services colleagues to implement and monitor data hygiene and quality-control protocols. Ensure the accuracy, consistency, and integrity of Advancement data while maintaining compliance with institutional data governance policies, CASE standards, privacy regulations (FERPA, CAN-SPAM), and IRS receipting requirements across list delivery, reporting, and other data-driven processes. Oversee ongoing data hygiene, management, and validation processes to ensure accuracy of constituent records, campaign segmentation, and reporting. Partner with Advancement Services colleagues to identify gaps, resolve discrepancies, and document data standards. Manage the delivery of key industry reports, including the CASE VSE and Alumni Engagement Surveys. Ensure consistency, accuracy, and alignment of reports with strategic goals. - (Essential)
  • 10% - Strategic Planning & Partnerships - Provide analytic support for campaign readiness, leadership reporting, and special initiatives. · Contribute to Institutional Advancement projects that improve data integrity, governance, and operational efficiency. Collaborate with campus partners, including Athletics, the Career Center, academic departments, and other units, to share engagement and give insights. Offer data-informed recommendations to support institutional engagement strategies. - (Essential)
  • 5% - Supervision - Supervise and guide staff, student assistants, or project-based team members supporting data hygiene, segmentation validation, and analysis tasks, ensuring quality control, proper documentation, and adherence to data standards. - (Essential)

 

Minimum Qualifications

  • Bachelor’s degree in data analytics, statistics, business, computer science, or a related field, or an equivalent combination of education and experience.
  • Three years of experience with analytics or visualization tools (Tableau, CRM Analytics, Power BI, or similar).
  • Two years of supervisory experience.
  • Working knowledge of scripting or automation tools (e.g., Python, SQL, or comparable technologies) for data cleaning and reporting.
  • Demonstrated proficiency with Salesforce Education Cloud and Marketing Cloud Account Engagement (MCAE/Pardot) for segmentation, reporting, and campaign analytics.
  • Ability to extract, clean, and analyze large datasets using tools such as Excel, SQL, or Python.
  • Knowledge of direct marketing and fundraising strategies, including annual giving segmentation.
  • Knowledge of advancement operations, donor lifecycle metrics, and philanthropy best practices.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.

  • Skilled at communicating feedback verbally, in writing and electronically; and documenting performance via introductory
    and annual performance appraisals.
  • Skilled in developing and determining corrective employment/performance/behavioral strategies, as needed.
  • Demonstrated ability to design and execute performance improvement plans, conducting disciplinary action and/or determining the appropriateness of employment continuation.

 

Preferred Qualifications

  • Post-bac degree or certification in data analytics, information systems, higher education administration, or related field.   
  • Relevant Salesforce Certifications (Salesforce Administrator, Tableau, MCAE, etc.).
  • Experience with Advancement or fundraising data structures, including annual giving segmentation, donor lifecycle reporting, or campaign tracking.
  • Familiarity with CASE reporting standards, APRA data ethics, and Advancement Services best practices.

 

EXPECTED HIRING RANGE:  $73,900/yr-$95,000/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
